Manual Key Tracking in High-Volume Operations

Managing a large fleet with high daily turnover, particularly at bustling airport locations handling over 600 cars per day, demanded a real-time overview of vehicle status and precise return timestamps. Tracking keys was absolutely essential, acting almost as a kanban card for each car. However, manual key searches by employees were time-consuming, and accurately determining key return times, especially at unmanned stations or during the night, posed a significant challenge, impacting service speed and efficiency.

 

RFID helps speed up the rental process with instant information on vehicle availability and key whereabouts, making car key drop-off with RFID seamless.

Solution

RFID-Enabled Key Management System

Vilant implemented a UHF RFID solution designed to increase key location visibility and automate the rental process:

  • RFID Keyfob Tagging: Over 150,000 rental vehicle keyfobs annually are equipped with UHF RFID labels across 10 countries.
  • Automated Counter Tracking: RFID readers are integrated into standard Sixt counters at least at the high-volume rental locations (typically airports). These continuously read keys available in service desk drawers, providing real-time whereabouts to employees. For smaller stations, USB-based desktop readers facilitate swift status changes, such as “car returned.”
  • Key Return Safe Integration: Around 200 key return safes are equipped with RFID, connected via LAN or GSM, to precisely determine the exact return time of each key left at unmanned stations or returned overnight, solidifying the car key drop-off RFID process.
  • Global Monitoring & Integration: The Turck Vilant Device Manager controls and monitors all RFID readers globally, and the system integrates with Sixt’s ERP to provide comprehensive vehicle status and key location data. This entire rollout was implemented within 6 calendar months due to the standardization, modularity, and quality of the Turck Vilant Systems-powered solution.
